Shopify fraud / verification macros
Templates for high‑risk orders, address mismatches, and verification checks — written to stay calm and prevent chargebacks.
Fraud checks are awkward because you’re balancing two things at once: protect the store and avoid accusing a real customer of something. The easiest way to keep the tone right is to treat it like a routine verification step — clear, calm, and optional (“we can cancel and refund if you prefer”).
Below are practical Shopify verification templates for high‑risk orders, address mismatches, and “please ship to a different address” requests. These are written to reduce chargebacks without sounding like a bank.
When to verify an order (common signals)
- Shopify risk / fraud analysis flags the order as medium/high risk
- Billing and shipping addresses don’t match (especially first‑time customers)
- Unusually large order size or multiple expensive items
- Express shipping + “change address” right after purchase
- Customer asks to ship to a freight forwarder / reshipping address
Verification rules that keep you safe
- Never ask for full card numbers. If you need confirmation, last 4 digits + billing address is the maximum you should request.
- Use a secure upload method if you request documents (avoid sending ID photos in plain email if possible).
- Be consistent. A predictable process reduces arguments (and keeps agents aligned).
Shopify fraud / verification templates (copy‑paste)
Replace placeholders like {first_name} and {order_ref}.
Save these as macros under a folder like Shopify • Verification.
1) Friendly verification request (the “standard check”)
Hi {first_name},
Thanks for your order {order_ref} — quick heads up:
our system flagged it for a routine verification check before we ship.
To confirm it’s all good, please reply with:
1) The billing name and billing address
2) The last 4 digits of the card used (or the payment method used)
If you’d rather not share details, no worries — we can cancel and refund the order instead.
Best,
{agent_name}
2) Address mismatch (offer safe options)
Hi {first_name},
I’m reviewing order {order_ref} and I noticed the billing and shipping addresses don’t match.
That can be totally normal — we just need to confirm before shipping.
Please confirm one of these options:
A) Ship to the billing address on file
B) Cancel and refund
C) Provide a quick verification so we can ship to the requested address
If you choose C, reply with the billing address + last 4 digits of the card (or payment method used).
Best,
{agent_name}
3) “Can you change the shipping address?” (high‑risk scenario)
Hi {first_name},
Thanks — we can sometimes change the shipping address for order {order_ref}, but because address changes can be risky,
we need a quick verification before we do it.
Please reply with:
• billing address
• last 4 digits of the card (or payment method)
• the full corrected shipping address + phone number
Once confirmed, we’ll update it and continue processing.
Best,
{agent_name}
4) Request a photo ID (only when needed)
Hi {first_name},
To keep your order {order_ref} safe, we need one additional verification step.
Please provide:
• a photo of a government ID (name must match the billing name), and
• a note with today’s date and the order number {order_ref}
Important: please cover sensitive numbers you don’t want to share (we only need name + photo).
If you prefer, we can cancel and refund the order instead.
Best,
{agent_name}
5) Verification approved (release the order)
Hi {first_name},
Thank you — verified ✅
Order {order_ref} is now approved and will continue processing.
Estimated ship time: {ship_time}
We’ll send tracking as soon as it leaves our warehouse.
Best,
{agent_name}
6) Unable to verify (cancel + refund, keep it calm)
Hi {first_name},
Thanks for your patience.
We weren’t able to complete verification for order {order_ref}, so we cancelled it to keep your payment safe.
Refund amount: {refund_amount}
Timeline: {refund_timeline}
If you believe this was a mistake, reply here and we’ll help you place a new order.
Best,
{agent_name}
