Workflow

Shopify support teams see the same “small change” tickets every day: address changes, order edits, and cancellation requests. The fastest teams follow a simple workflow: confirm status → pick the right template → set expectations.

Shopify order edit workflow (decision tree)

  1. Check fulfillment status: unfulfilled vs partially fulfilled vs fulfilled.
  2. Check payment status: paid vs pending (important for edits).
  3. If unfulfilled: you can usually help (edit address, adjust item, cancel/refund).
  4. If fulfilled: explain limitations and offer the next best option (carrier change request, return, replacement).
Support tip: Customers mainly want reassurance. Your reply should include (1) what you can do, (2) what you can’t do, and (3) what happens next.

Shopify address change templates

1) Request the full updated address

Hi <name> 👋

Sure — I can help update the shipping address for order <orderid>.

Please reply with the full updated shipping address:
Name:
Street:
City:
State/Region:
Postal code:
Country:
Phone (if required by the carrier):

Once I have it, I’ll confirm whether we can update it before shipment.

Best,
<agent_name>

2) Address updated (order not fulfilled yet)

Hi <name>,

Done ✅ The shipping address for order <orderid> is updated to:

<new_address_block>

If you need to add an apartment number or update the phone number, reply here and we’ll adjust it before shipment.

Best,
<agent_name>

3) Too late to change (already fulfilled)

Hi <name>,

Thanks — I checked order <orderid> and it has already shipped, so we can’t change the address inside the shipment.

Best next options:
• If the carrier supports it, you may be able to request a hold at pickup or update delivery instructions
• If it’s returned to sender, we can reship once it comes back

If you share the updated address, we’ll keep it ready in case we need to reship.

Best,
<agent_name>

4) Confirm the change request

Hi <name>,

Got it — you want to update order <orderid> to:

<requested_change>

I’m checking the order status now. If it hasn’t started processing yet, we can usually update it.
I’ll confirm back in <time_window>.

Best,
<agent_name>

5) Edit approved (unfulfilled)

Hi <name>,

Confirmed ✅ We can make that change for order <orderid>.

Updated order:
<updated_order_summary>

If everything looks correct, no action needed — we’ll ship it as updated.

Best,
<agent_name>

6) Edit not possible (offer clean alternatives)

Hi <name>,

Thanks — I checked order <orderid> and it’s already in processing / preparing for shipment,
so we can’t safely edit it anymore.

Two options:
• We ship it as-is, and help with an exchange/return after delivery
• If it hasn’t shipped yet and you prefer, we can cancel/refund so you can reorder correctly

Tell me which option you prefer and we’ll take care of it.

Best,
<agent_name>
